Approve the renewal of Bid No. 22-962-34 RN: Food & Supply Purchasing Services for the purchase of food, food related products and supplies from HPS, LLC’s contracted vendor, which is currently Gordon Food Services, Inc., for an estimated annual expenditure of $7,000,000.00.

Executive Summary

The Director of Food and Nutrition Services, on behalf of the Superintendent of Schools, hereby requests the Board approval for the renewal of Bid No. 22-962-34 RN: Food & Supply Purchasing Services, awarded to HPS, LLC., a Group Purchasing Organization (GPO), for the purchase of food, food related products and supplies through their contracted vendor for our school cafeterias district-wide. This contract will allow the Hernando County School District to take advantage of the GPO’s competitive pricing. The current contracted vendor through HPS, LLC is Gordon Food Services, Inc.  The contract will also include the annual membership fee to HPS, LLC of $3,750.00. The period for this bid contract is 7/1/2025 through 6/30/2026.

If expenditure is not currently budgeted, this will serve as the budget amendment when Board approved. If the agenda item includes the purchase of goods or services, the funds requested are an anticipated amount and may fluctuate depending on such factors as current market conditions, product availability, additional funding sources, and the needs of the District.  Should the actual cost exceed the anticipated amount, the Board approves the additional cost, after review by the superintendent, but not in excess of the funds available in the site’s approved annual budget.
